A Seamless Events Experience for Learners

This Events Guide provides an overview of how learners view and interact with events within the platform. It explains how event information is presented and how learners can browse available events, view details, and engage with sessions. This guide focuses on the learner experience within the Events area of the platform.

🧭 Accessing Events

The Events area can be accessed from the sidebar menu within the platform. From here, learners can browse available events, view event details, manage registrations, and access upcoming sessions.

 

🧩 Event Setup and Registration Details

When viewing an event, you’ll see important details such as:

  • Event type: Onsite or Webinar
  • Dates and times: Single or multiple days
  • Available space: Shows remaining capacity
  • Your registration status: Based on the event’s availability and your actions

For upcoming events with available slots

Click to confirm your registration for the event. Once registered, your status changes to Attending.

Attending

After you’ve successfully registered, before the event starts, or

When you are invited to a managed enrolment event

Indicates that you’re already registered and waiting for the event to begin. No further action needed until the event day.

Pending

After registering for self-enrolment events that require approval/sign-off

Indicates your request is awaiting approval. You’ll be notified once your registration is approved or declined.

Accept | Decline

When you are invited to a self-enrolment event

Respond to the invitation by choosing Accept to confirm your attendance or Decline if you do not wish to participate.

Cancel Attendance (via More Details)

After you’ve registered for an event (before it starts, if cancellation is allowed)

Accessible through the More Details section. Click to cancel your registration and free up your slot for other learners.

Join Now

When a webinar event is currently happening (live)

Click to join the ongoing webinar directly. Opens the webinar link in a new window or tab.

Ongoing

When an onsite event has started

Displays that the event is currently happening. Used for in-person events (no action button needed).

Disabled Register (Managed Enrollment)

For events where learner registration is managed by training coordinators

You cannot self-enrol in this event. To participate, you may contact your manager or training coordinator for assistance with enrollment.

Join Waitlist

For Single-Day Events that are already full

Adds you to the waitlist. You’ll be notified if a slot becomes available.

Leave Waitlist

After you have joined a waitlist

Click to remove yourself from the waitlist if you no longer wish to attend.

Options (Join Waitlist or See Alternative Dates)

For Multi-Day or Course Sessions Events when the upcoming session is already full

Lets you choose to either Join the Waitlist or See Alternative Dates for the same course.

 

🗓️ Types of Events

1. Single-Day Events

Events that happen on one specific date.

  • You can register if slots are available.
  • If the event is full, you can join the waitlist.
  • When the event is ongoing, you’ll see a Join Now button to access it directly.

Examples:

  • A one-day webinar
  • A short in-person workshop

2. Multi-Day Events

Some courses require multiple days to complete because the content continues from one session to another.

  • These are treated as continuous courses, not separate sessions.
  • When you register, you are enrolled for the entire duration of the course.
  • If full, learners may see options to join a waitlist or see alternative dates if other sessions exist.

Examples:

  • A 3-day training program
  • A week-long certification course

3. Course Sessions (Same Course, Different Dates)

Some courses are offered on multiple dates or schedules — each is considered a separate session of the same course.

  • You can select which session fits your availability.
  • If your preferred session is full, you may choose to see other dates or join a waitlist (depending on event type).

Examples:

  • “Introduction to Baking (Nov 15)”
  • “Introduction to Baking (Nov 29)

 

❓ Frequently Asked Questions (FAQs)

1. How do I register for an event?

Open the event and click Register if slots are available. Once successful, your status will change to Attending.

2. What happens after I register?

After registering, your status will show as Attending. You’ll receive reminders before the event starts, and a Join Now button (for webinars) or Ongoing status (for onsite events) will appear when the event begins.

3. What does “Pending” mean?

Pending means your registration request is awaiting approval for events that require sign-off. You’ll be notified once your request is approved or declined.

4. What should I do if an event is full?

  • For single-day events, you can Join Waitlist (if waitlisting is available).
  • For multi-day events, you may see options to Join Waitlist (if enabled) or See Alternative Dates.
  • For courses with multiple sessions, click See Other Dates to find another available schedule.

5. What is a Waitlist and how does it work?

If an event is full, you can join the waitlist. When a space becomes available, you will be notified and automatically registered for the event.

6. When will a space become available from the Waitlist?

A space may open when:

  • A registered attendee cancels their attendance, or
  • The maximum number of seats for the event is increased.

Waitlisted learners are placed in a first-come, first-served queue. When a space becomes available, the next learner in line will be notified and automatically registered for the event.

7. Can I leave the waitlist?

Yes. Click Leave Waitlist if you no longer wish to be considered for a space.

8. Can I cancel my registration?

Yes. Go to the event’s More Details section and select Cancel Attendance (if cancellation is allowed).

9. How do I join an event?

When the event is live:

  • For webinars, click Join Now.
  • For onsite events, check the event details and look for the Ongoing status for attendance instructions.

10. Where can I see my registered or waitlisted events?

Go to Events or My Learning to view your registered and completed events.

11. Do I need to attend all days for a multi-day event?

Yes. Multi-day events are continuous courses, so you’re expected to attend all scheduled days to complete the course.

12. Will I be notified about my events?

Yes. You’ll receive notifications for:

  • Registration confirmation
  • Waitlist updates
  • Approval (for pending requests)
  • Event reminders before the session starts
  • Changes on event schedule
