Learner Profile Set-up

All accounts will be visible in the “Learners” area of the admin dashboard. From here, you can edit those accounts, create new accounts and remove old accounts.

There are three sections in this area:

  • Active: Accounts that are set to ‘online.’ These people are able to log in to the platform if they have their login details.

  • Offline/New: This is for accounts that are set to ‘offline.’ All user data is stored, but they are not allowed to log in. These count towards your user limit as they are still full accounts.

  • Misconfigured: Something went wrong! Users who appear here have either got no team allocated to them or else you started creating the user and stopped halfway through.

  • Leaver Accounts: We understand that sometimes people leave a company, and when that happens you need to delete that account. But what happens when they realise their mistake? The leavers functionality allows you to recover their account up to a set period of time, after which their account is automatically and permanently deleted.

Step-By-Step

When creating learners, go into Learners and select New Account. Then fill in the boxes, such as name, email, company and position. Next, add a username, this has to be unique as it is how the platform distinguishes and recognises users. Then you need to select the learners access level. Remember, everyone on the platform should have Learner ticked. Additional access levels will depend on the individual's role in the company and what they need access to, such as manager reporting. You should also know the content groups that this learner will sit in, and select the relevant groups. This is what content the learner will have access/visibility of. When you click save you will be asked to select a hierarchy. Remembering the section on that you should be able to select the correct team. 

Admin Tip * Remember all learners can only sit in one team, but managers can have visibility of multiple teams, which is controlled through manager access. This allows them to report on anyone they have visibility over.

When you save the hierarchy you will be asked to select a Level. This will depend on your level structure, but typically you will want to put learners in level one (It gets more interesting when you have more than one level pathway, where it will often depend on the learners role within a company. When you click save, assuming everything has been filled out correctly your learner will be online.
